Upload today’s Store Stock file from the ERP (.xls, .xlsx or .csv). Stock for every store in the file is replaced with the new figures. New items in the file are added automatically.
Expected columns: Department, Brand, Item Code, Barcode, Item Name, Unit, then one column per store, then Total Stock. Title lines above the header are fine.
CSV or Excel (.xls or .xlsx), straight from the ERP. Rows are matched by barcode, so the master list, the stock list and the website file merge into the same products. A stock list with one column per store updates stock for every store; products in an “Exclusive” department are marked as our own brands automatically.
Download what is in the catalog now, as one Excel file, to cross-check before re-uploading new items. Sheets: Products, New items (added manually, not in the ERP), Reminds me of and Stock. You can edit the Products or New items sheet and upload it here again; rows are matched on barcode.
Download a template, fill it in Excel, save as CSV or .xlsx, then upload.
Recognised product columns: barcode, item_name, department, brand, our_brand, gender, concentration, size, family, top_notes, heart_notes, base_notes, description, seasons, occasions, longevity (1–5), sillage (1–5), image_url, notes_url, active. Common ERP names like EAN, Item Description, Dept and Brand Name work too.
Notes extraction from a notes link needs the server and works on the live site only.

Tick our own brands. Their perfumes can be linked to the well-known perfumes they remind you of, and get priority in recommendations. Changes save immediately.

Paste a Claude API key from console.anthropic.com to test the AI assistant and AI-ranked suggestions. The key is saved only in this browser on this computer. On the live site the key stays on the server instead.
All stores read the catalog from the file data.json on the website. After you update stock, add items or change links, press Publish to website. It downloads a new data.json. Upload it to Hostinger › File Manager › public_html and replace the old one. Stores see it the next time they open or reload the page.
Two types of user. Back Office sees everything, including Admin and adding new items. Stores see the catalog, Find a scent and the AI assistant, with stock for their own store first. They cannot open Admin or add or edit items.
New passwords reach the stores when you publish to the website. They are a simple screen lock. To protect the whole website too, use Hostinger hPanel › Websites › Advanced › Password Protect Directories.
Everything you import or edit is saved in this browser. Export before clearing if you want to keep it. The same CSV files import into the live site.
